Hi All SAP Gurus I need some critical Info on SAP DMS 1. The SAP Document in DMS cant have more than 2 Files (word or excel etc) unless we use Knowledge Provider..is there a way around if the files are stored in an external server
2. In SAP Document , the word or excel file attached , names of file is not displayed rather it shows WINWORD application name.How can we display the name of original file like myfile.doc or myfile.xls
3. Similarly when one goes to any object like equipment etc where a SAP document is linked then it displays all the versions of the document & not just the latest version.The requirement is that it should display only the current version of the document.Can it be done ???
Inputs from any DMS or SAP guru is most welcome.Please mail me directly if you have a part or full solution

1. You can have more than one file by creating a document structure or hierachy of docs but upfront you can have only two. You can also create a structure (like BOM).
2. SAP DMS works on the concept of DIR (Doc Inof Rec) not on individual doc file. so getting xyz.doc is not possible. However you could create a naming convetions to have DIR name as name of the file.
3. In latest versions it is possible to limit it by confuration. |

1. Without using Knowledge Provider, you are limited to 2 attachments per DMS info record (we debugged the code and it is hardcoded to "2"). The secure storage location has no bearing on this. One option is to use the "Part" functionality of the DMS info record. It is a 3 byte piece of the entire DMS info record key (doc type-inforec number-part-version). You can create multiple parts which will create additional DMS inforecs, but under the original DMS inforec number.
2. You will need to put the "myfile.doc" in the description of the DMS inforec.
3. In the Object Links section of the DMS document type configuration, you can specify all versions or current versions as the default.

Hi there
1. You can save more than two files even if you use ixos, or yoy have to use the SAP database.
2. When attaching the original, give the file a description.
3. If there is more than one linked to the equipment master, allof them will appear.

Hello. I have a problem (?) related to the tip mentioned below and would really appreciate your help. For some reason, DMS ignores my specification of "Current Version" as the default in SPRO and uses the option "All Versions" as the default. Any ideas what is wrong/what am I doing wrong?

Hi There,
I have a problem when I attached an original application file to my DIR. Check-In on release requires the file to be stored on the SAP DB using the default storage location for DMS Mail files.
The problem however is that I get an error message no. 26253 when I check the file in.
Could anyone please give me some ideas?
I have checked the Data Carrier for PC, which is set to C:\Temp

hello For DMS....you MUST NOT Store th eoriginal files in the SAP (R/3) database !!!! the entry in the system which allows you to do so is only for test purposes !!!!
SAP has always warned about it...you better use Content Server for the storage part _________________ Cheers Sooriya TANDRAYEN

Thanks for the reply. I do know that SAP explicitly warns against checking the files into the dB as opposed to a ContentServer like KPRO.
This is for testing purposes only.
That in mind, the problem is that I can not check a file into the SAP dB or into KPRO for that matter.
I have looked at the config for Storage Locations and it still does not want to work.
Please advise.

Well first could you tell me in which configuration are you ? SAP R/3 system version ? Where are situated your users ? (number of locations ? or are they al lin one same location and same network ?) Average size of originals ? Have you a sufficient customized DMS in R/3 ? Have you installed and configured a SAP Content Server ?? Have you done a couple of tests to check if content server is accessible for a user ??
when you talk about SAPdb you mean, SAP Content Server ? (Kpro is only the technical component in R/3 allowing the connection with content server)...what's the error tells you ? _________________ Cheers Sooriya TANDRAYEN
